Stoneygate Centre for Empathic Healthcare Privacy Notice

Information you need to know

The Stoneygate Centre for Empathic Healthcare (“the Centre”) is part of the University of Leicester. The Centre is a founding member and the current administrator for the Global Empathy in Healthcare Network. Further information about the University of Leicester is available at https://le.ac.uk/.

The University of Leicester is the data controller for your personal information. The University’s Data Protection Officer is Parmjit Gill, who can be contacted at dpo@leicester.ac.uk.

This privacy notice explains how and why the University collects and uses your personal information. If you are a nominee or award winner, this notice also applies to personal information provided about you by someone who nominated you.

What is ‘personal information’?

Personal information means any information that relates to you and can be used to identify you, either directly or indirectly.

What information are we collecting or using?

For Events and Short Courses

When you attend one of our events or short courses, we collect your name and email address so that we can communicate with you. We also collect information about your job role and organisation to help event organisers tailor content appropriately.

If you attend an in‑person event, we may ask for dietary requirements or access requirements to support your attendance.

For the Global Empathy in Healthcare Network

We collect basic personal details about you. This includes your name and email address so that we can communicate with you. We also record your job or role, organisation, and brief details related to your relevant research and teaching experience.

We collect this information directly from you when you contact the Global Empathy in Healthcare Network with a general enquiry, membership applications, or when you register with us a a speaker, attendees, sponsor or exhibiter at one of our events.

We use your contact details to respond to your queries and to manage anything related to membership, registration or sponsorship. Your information also helps our events team organise and run our events smoothly.

For ‘Empathy Champion’ Nominations

If you submit or are included in a nomination, we collect your name and work email address so that we can contact you. We also collect the nominee’s name and email address so that we can notify them if they are successful and provide any associated recognition, such as a certificate or badge.

Nominations may also include a written statement explaining why the nominee deserves the award, and this may contain personal information.

For our Mailing List

If you have requested to join our mailing list, we will collect your name, email address, and organisation, if provided, for the purpose of contacting you about our teaching and research activities, and events. You can unsubscribe from the mailing list at any time.

Why are we processing your data?

We use your information to manage and administer events, short courses, mailing lists and awards. This includes communicating with you, tailoring content, and ensuring events run smoothly.

If you have chosen to receive marketing communications, we use your email address to send you relevant updates.

For awards, we process contact details and nomination content to assess entries, verify information, select winners and contact successful nominees.

What is our legal basis for using your data?

As a provider of training courses and related products, we process much of the personal information described above in order to fulfil our contractual obligations to you or, where applicable, to your employer for your benefit. Without this information, we would be unable to manage your booking, facilitate your participation, or provide access to our training, events and services.

We also process certain personal information on the basis of our legitimate interests. This includes Global Empathy in Healthcare Network membership information, processing award nominee data and information necessary for the effective administration of the Centre, business planning, improvement activities, and the promotion of our products, services, and events, provided that such processing does not override your rights and freedoms.

Where sensitive information is involved, such as dietary or accessibility requirements, we will process data only with your explicit consent.

Who will my personal information be shared with?

We will share your personal data with our third‑party event and training provider, Orange Juice Communications and TicketTailor, where this is necessary to support and deliver the event.

Your information will otherwise be shared only with relevant staff at the Stoneygate Centre for Empathic Healthcare who are responsible for organising and delivering events, managing communications, or administering awards.

Where was my information sourced from?

We collect personal data directly from you when you register for events or communications. In some cases, your organisation may provide your details if they have arranged training on your behalf. If you are an award nominee, your information may be provided by the person who nominated you.

How long will the University of Leicester keep my information?

We only retain your personal information for as long as necessary and where we have a lawful basis to do so. For events, email correspondence and booking records are typically held on our systems for up to one year after the event or training session has taken place.

Information relating to training and awards is generally retained for up to one year following your involvement. Information relating to nominees may be retained for up to one year, in line with our standard retention practices.

If you have opted in to our mailing list, or have registered as a member of the Global Empathy in Healthcare Network, we will keep your name, email address, and organisation, if provided, in our database until you tell us otherwise.

What rights do I have regarding my data?

You have the right to access, correct, or delete your personal data, to object to or restrict how it is used, to request its transfer to another organisation, and to avoid decisions made solely by automated processes.

Some of the above rights are not absolute. If you want to exercise any of the rights described above, please contact the University’s Information Assurance Team via on the email at the end of this notice.

We will do our best to respond quickly and within the timeframes set out by data protection law. To help us handle your request and improve our services, we may keep a record of our communications with you.

Complaints to the University

If you are unhappy with how your personal information has been handled, you can raise a complaint with the University’s Information Assurance Team using the contact details at the end of this notice.

Complaints to the ICO

If you are not satisfied with the University’s response, you have the right to complain to the Information Commissioner’s Office (ICO), the UK’s independent data protection regulator. Further information is available at www.ico.org.uk.

Changes to this privacy notice

This privacy notice was published in June 2026. It may be updated from time to time to reflect changes in law or our practices.
