Personal information

Students can update the majority of their personal details held in their student record by logging on to MyStudentRecord and using the 'My Details' tab.

If you are unable to access MyStudentRecord using your University IT account you can contact our IT team in the following ways: 

Photo

You can amend your photo in the 'My Details' tab of MyStudentRecord by clicking 'update photo'. Please review our photo guidelines before you upload a photo.

Name details

Preferred or ‘known as’ name

If you wish to be known by a preferred first name, which is different from your official forename, you can amend this without providing evidence. You can do this in the 'My Details' tab of MyStudentRecord by clicking update and entering your preferred first name. It can take up to 48 hours for this change to appear in all University systems.

Updating this name will mean your official forename is replaced by your preferred forename on your student ID card and the majority of University communications. Please note all formal University documentation such as your degree certificate will retain your official first name. Only official forename and surnames are announced when graduating.

Official name – current students

The University records a student's name as the one they used to make their application to their course (whether this was through UCAS or direct to our Admissions Office).

You can view the forenames and surname that make up your official name in the 'My Details' tab of MyStudentRecord. This is the name that will appear on your awarding documents (degree certificate and transcript where applicable) when you complete your course. Your name should be your legal name as shown on your official documents e.g. passport.

To change your official name in the University records, the University needs to be provided with copies of one of the following official documents:

  • Valid passport
  • Birth certificate
  • Marriage certificate
  • Deed poll

Please note we cannot accept a driving license as proof of a name change.

For documents not in English, we would require an official English translation to process the name change.

If you do wish to change your official name details, please email studentservices@le.ac.uk with your student number and the relevant evidence.

Official name – alumni

Please note if the name a person was registered and awarded under changes after the award has been conferred at graduation, we cannot change our records or any documentation that has been issued. This includes if a name has changed due to marriage or divorce. If sufficient evidence is provided of the new name, we will consider producing a letter confirming that the award should be accepted as proof that the person completed the degree. We will only accept a scanned copy of one of the following official documents:

  • Valid passport
  • Birth certificate
  • Marriage certificate
  • Deed poll

Please note we cannot accept a driving license as proof of a name change.

For documents in other languages, we would require an official English translation of the documents in order to process a name change.

Official name – gender transition

If you are a current student and changing your name due to transitioning, you may wish to have your name updated using the methods above. For any changes to your title or gender, or if you require further University support, please see the University’s supporting trans, gender-fluid and non-binary staff and students guide (docx., 84kb). This guide also includes a named contact in the Information Hub who can process name change requests of this nature if you would prefer not to contact the studentservices@le.ac.uk inbox.

If you are an alumni and changed your name post-graduation due to transitioning, please contact us at studentservices@le.ac.uk. Once your student record has been located, our team will then be able to advise further.

Contact details

You can amend your own home address, contact/term time address, personal email addresses and telephone number details. To do this, in the 'My Details' tab of MyStudentRecord scroll to the 'My Address Details' section and click update.

Addresses

The University records two types of address for students:

  • Home address - usually your family home or address where you live during the University vacation.
  • Contact/term time address - the address you live at during University term time.

All students are required to keep their home and contact/term time address details up to date during their studies. If you are an international student, it is a condition of your visa that your address details are always up to date.

If you are a full-time student and update any of your address details you should ensure your local authority have your up-to-date address information for Council Tax purposes. You can download a Certificate of Registration from MyStudentRecord, provided you have fully completed registration.

Email addresses

The University records your university email address (@student.le.ac.uk) and a personal email address. The University will communicate with you by email most of the time. Make sure that you check your University email account, and any personal email account you have notified us about regularly.

Telephone numbers

The University records three types of telephone numbers for students:

  • Home telephone number - usually your family telephone number or the telephone number of where you live during the University vacation.
  • Term time telephone number - the land-line telephone number of the address you live at during University term time.
  • Mobile telephone number – your personal mobile telephone number.

Emergency contact details

You can amend your emergency contact details in the 'My Details' tab of MyStudentRecord, by scrolling to the 'Emergency Contact Details' section and clicking update.

Please note if you are under 18 years of age you must inform the University straight away if there are changes to any of the contact details provided. You will need to complete the under 18 emergency contact details form and email it to studentservices@le.ac.uk.

Consent preferences

You can amend your consent preferences provided in the 'My Details' tab of MyStudentRecord, by scrolling to the 'My Consent' section and clicking update.
