Example 1 - close contact with someone who has tested positive
Please use the script below to explain the process when informing a staff colleague that they have been in close contact with someone who has tested positive and they have been on campus.
- Tell them that you are calling in connection with a colleague who has tested positive and if you have consent from the member of staff who has tested positive give the staff colleague the name of the member of staff, so that you can agree with the staff colleague if close contact has occurred.
- If you do not have consent to disclose then with the information you have regarding close contact occurring explain your rationale to the Staff Colleague
- Tell them to self-isolate due to the close contact and follow the PHE home isolation and that if they develop symptoms, to get tested and follow NHS test and trace service
- Tell them that NHS test and trace will be in touch with them.
- Tell them to complete the online reporting form to report that they are self-isolating and that a further form will need completing if their status changes from self-isolating to testing positive or negative.
- If they are worried and anxious, ensure that you give them Validium’s 24/7 phone number of 0800 358 45 68 and signpost them to the online Support Toolkit signposting them in particular to the Emotional Wellbeing pages that include a section on managing worry, support for BAME colleagues and Wellbeing Action Plans.
- Follow up with email to reiterate everything you have told them and include all of the relevant links, see below.

Dear [insert name],
Following our conversation with regards to our colleague who has tested positive for COVID-19 and who you have been in close contact with whilst on campus, I want to write to reassure you that you are supported at what might be a worrying time. It is thought that this close contact happened between you, as defined by Government
You must now self-isolate and follow the Public Health England home isolation guidance.
If you develop symptoms, get tested and follow NHS test and trace service.
You should also complete the coronavirus reporting form to report that you are self-isolating. You should complete a further form if your status changes from self-isolating to symptomatic to testing positive or negative.
